How much do missed calls cost your business?

Most owners know they miss calls. Few know what it costs. Here is a way to find out in about ten minutes, using your own numbers.

Step 1: Count your missed calls

Check your phone system, call log or voicemail for one typical week. Count every call nobody answered. Include calls that came in after hours and calls that rang out while your team was busy.

If you do not have a log, ask your phone provider for a call report. Most can supply one.

Step 2: Keep only the real prospects

Remove spam, wrong numbers and calls from existing customers who only needed a quick answer. What is left are people who might have bought from you.

If you can, call a sample back. It is the fastest way to see how many were real.

Step 3: Estimate how many would have become customers

Use your own close rate for inbound calls. If you do not track it, take a rough guess based on the last few months and be conservative.

Step 4: Multiply by what a customer is worth

Use your average first-year revenue per customer, or your average deal size. Pick the number you trust most.

The formula

Missed prospect calls per month × close rate × average customer value = monthly revenue at risk

A worked example

These numbers are made up to show the math. They are not a benchmark.

  • 40 missed calls in a month
  • Half are real prospects: 20
  • You close 1 in 5 inbound calls: 4 customers
  • Each customer is worth $2,000: $8,000 a month at risk

Your numbers will be different. That is the point. Run it with yours.

A few honest caveats

  • Not every missed call is lost. Some people call back or leave a message.
  • The estimate is rough. Treat it as a direction, not an exact figure.
  • A missed call is not the only place leads leak. Slow replies to forms and emails matter too.

What you can do about it

There is more than one fix, and AI is not the only one.

  • Change who answers. Route calls to a second person, or a small rota, during busy periods.
  • Return voicemails fast. Set a rule, such as every message gets a reply within the hour.
  • Cover after hours. A human answering service or an AI receptionist can pick up when your team cannot.
  • Capture the details. Make sure every call leaves a record of who called and what they needed.
